Prepare your starting records

Bring a small, useful set of records into your workroom without confusing names or unnecessary duplicates.

Before you start: Choose the information your team needs for its first workflow and the module where each record belongs. Use the record-creation instructions for that module.

Steps

  1. Start with one manageable group of records, such as the tasks for one project or the customers you are currently working with. Leave unrelated historical data for a later batch.

  2. Check the essentials before entering each record: a clear name, purpose, responsible person where needed, meaningful dates and any related project or customer.

  3. Search the destination module for existing records. Compare the actual customer, project or business event—not just similar spelling—before deciding that a new record is needed.

  4. Use names your teammates will recognise. For a task, an action and object such as Prepare the meeting agenda is more useful than New task.

  5. Create the record using the module’s form, then reopen it. Check the saved name, details and relationships before moving on to the next record.

Expected result

Your team has a small starting dataset that is understandable, connected to the right work and easy to find.

Common pitfalls

  • A reference from your source spreadsheet is not automatically a Workroomly record ID.
  • If a save appears to time out, search for the record before creating it again.
