Roll out your workroom to a small team

Start with one real workflow, help a small team use it successfully, then expand with fewer surprises.

Before you start: Choose a workflow with a clear finish, such as creating, assigning and completing a task. Identify the people who will use it first.

Steps

  1. Make sure the starting records are ready and each person can find the workroom, module and records they need.

  2. Walk through the workflow with the first users. Let them use their own accounts so you can spot unclear instructions or missing access.

  3. Fix the issues that interrupt ordinary work: confusing names, duplicate records, missing responsibilities, incorrect dates or permissions. Give each remaining issue a person and a next action.

  4. Before adding more people, check your plan and seats and any services the workflow actually depends on. Do not delay a simple task workflow for an optional service it does not use.

  5. Expand to the next group once the first team can complete the workflow. Keep a short set of working instructions and review roles when responsibilities change.

Expected result

A small team can complete a useful workflow, and you have a practical starting point for bringing more people into the workroom.

Common pitfalls

  • Attendance at a walkthrough is not the same as being able to complete the task.
  • Check the workflow again after a significant role or configuration change.
