Hand off an agreed customer job to delivery

Turn the customer’s accepted scope into a linked delivery task and give Finance the information it needs without losing the agreement’s conditions.

Before you start: You need the customer’s decision on an exact proposal version, the source CRM record, and a delivery owner and Board. Resolve unclear scope or dates before treating them as agreed.

Steps

1. Read the customer’s full acceptance together with the accepted proposal. Confirm the version, included outputs, exclusions, total, dates and any conditions. If a later reply changes a condition, keep that reply with the accepted baseline.

2. Open the source CRM lead and check its Notes for this agreement summary. If it is already recorded accurately, reuse it. Otherwise add a concise agreement summary through Add note → Save. Identify the accepted version and where the original decision can be found. Include any billing trigger, such as payment after an agreed milestone, rather than simply writing “customer approved”.

3. Check Linked Work for the intended delivery task. If it already exists, open it and check its brief, owner and date; skip the creation actions in steps 3–5 and preserve its current status. For new work, select Add task on the source lead and choose the delivery Board. Give the task a clear output-based title. Keep the generated CRM reference in its description.

4. Write a usable delivery brief in Description: what to produce, what is excluded, the source version, needed inputs, delivery date and how the finished output will be checked. Add an earlier review date when the work needs time for correction.

5. Choose the task’s Due Date, status and intended person through Assign Members, then select Create Task. Open the saved task from Linked Work on the lead and check the brief and date. Confirm that the delivery owner can open the material and understands the work.

6. Share the relevant agreement information with your Finance colleague through your normal internal process: correct customer and billing identity, accepted version, currency, total, billing trigger, payment terms and invoice recipient. Flag missing information instead of filling it with assumptions.

7. For a Finance colleague checking customer setup, Finance → Receivables → Customer terms is the relevant starting point. Existing invoices should be checked before a new invoice is created, so a handoff does not produce a duplicate charge.

8. Keep the customer relationship open until the work is delivered and checked. If the requested scope changes, agree its effect on price and dates before updating the delivery brief.

Expected result

The delivery owner has an actionable task linked to the customer record, and Finance can distinguish the agreed commercial facts from anything still needed before billing.

Common pitfalls

  • Customer acceptance, task assignment, delivery signoff and invoice issue are separate events. A handoff does not complete them automatically.
  • Do not assume CRM agreement information has created or populated a Finance invoice. Check the actual Finance record and follow its invoice workflow.
