Find an employee and understand their People record
Locate the right person, review their organisational details and distinguish their employee record from their Workroomly access.
Before you start: You need permission to view People records. Have the employee’s name and a second identifying detail, such as their work email, so you can distinguish similar names.
Steps
1. Open People from the main app rail. Choose Directory → Employees. Check the workroom before searching; employee records in another workroom will not necessarily appear here.
2. Search by the person’s name or work email. Review the role, department, status and type filters if the result is missing. Open the matching employee rather than relying only on a familiar name.
3. Read the employee’s status and Workspace access separately. Active describes the workforce record; an Unlinked access state means you should not assume the person can sign in or use employee-facing features.
4. Check the employee’s organisational relationships. If your role exposes Edit, inspect Department, Role / Position and Manager, then use Cancel when you are only reviewing. These are separate fields: a department lead is not automatically the employee’s manager.
5. Use Directory → Roles to find the position’s definition and its level. Use Directory → Departments to review the department itself. A workforce role describes the job; it is separate from a security role that grants application permissions.
6. Return to Employees and reopen the person. Review the relevant profile areas, such as Work Context, Learning and Documentation, without collecting unrelated personal information.
7. To see the person in organisational context, open Directory → Org Structure and search for them. A highlighted node may leave other people visible; compare its department and position with the employee record instead of treating the display as a filtered headcount.
Expected result
You can find the employee’s record, explain their department, position and manager, and identify whether their workspace access needs separate attention.
Common pitfalls
- Creating or activating an employee record does not by itself grant membership or application permissions.
- If a relationship looks wrong, correct the intended record through your People process rather than creating a duplicate person.
Turn what you learned into the way the team works.
Mark this lesson complete once the workflow exists in your workspace—not simply when you reach the bottom.
