Match both sides of a source reference and reconcile quantities without merging unrelated supply chains.

Trace Inventory handoffs to Procure and Produce

Before you begin

Choose one demand or supply chain. Keep the exact item, unit, warehouse, source references and reporting cutoff with it. A reference such as PO-0001 needs its module and record type to be meaningful.

Follow the purchasing handoff

1. Open Inventory → Replenishment → Purchase Requirements. Find the exact requirement and read its SKU, quantity, warehouse, lead time, Procure reference and state. 2. Open the corresponding Procure request through the available normal route, or ask its owner for that exact record. Compare source reference, line, item, unit, quantity, due date and destination. If the displayed reference does not open, do not assume the destination matches or create another requirement. 3. Keep requested, approved, sent and ordered quantities separate. A Sent to Procure badge is not purchase approval, a supplier promise or a receipt. Trace the actual purchase/source order and its remaining quantity.

Reconcile receiving and storage

4. Open Inventory → Receiving and find the receipt for that source. Open its exact detail and compare Expected, Received, Accepted and Remaining per item. These can describe the same units at different stages; do not add them as separate stock. 5. Follow Putaway tasks from the receipt. Match its source, task reference, quantity, origin, destination and current state. Then check Items → the exact item → Stock for the retained location and eligibility. A planned move is not completed storage.

Reconcile the production handoff

6. In Produce, match the saved material plan and effective BOM to the exact production order. Keep the original analysis time separate from the current shortage. Compare eligible finished stock, required production and component supply without borrowing quantities from another SKU. 7. Read that order's actual material issue, consumption, operation progress and output separately. A completed operation does not establish final accepted output, and issue plus consumption is not automatically two stock removals. 8. For tracked output, open its Lots & Serials record and Review quality inspections. Match the production source, lot, quantity and decision. Follow the stated final Produce-quality and putaway requirements before treating it as eligible supply; keep Inventory and Produce inspection identifiers distinct.

Check the result

Every connection is supported by matching source and destination records. State any remainder against its own basis—for example, ordered minus received or received minus accepted. Give a missing approval, receipt, quality decision or putaway to the responsible owner rather than hiding it behind an overall status.
