Change the default validity period for commercial documents

Update the CRM default validity period without changing unrelated commercial settings.

Before you start: You need access to CRM configuration and an agreed validity period for your team’s commercial documents. This is a shared setting, so confirm the change with the people who use it.

Steps

1. Open CRM and confirm the space you intend to configure. Select Config → Commercial.

2. In Commercial defaults, read the current Default validity value. Check that validity is the setting you want; the forecast staleness period is a different control.

3. Select Edit to open Commercial configuration. Find Default validity days near the top, alongside CRM currency and Stale forecast days.

4. Enter the agreed number of days in Default validity days. For example, use 21 only if your team has decided on a 21-day default. Do not copy a value merely because it appears in a tutorial.

5. Review the rest of the form before saving. Keep unrelated currency, payment terms, renewal notices, document numbering, taxes, approval and relationship-matching settings as they were.

6. Select Save. Return through Config → Commercial and check the displayed validity. Reopen Edit if needed to confirm the exact field value.

7. When preparing the next commercial document, check its proposed issue and expiry dates. Confirm that they reflect the intended default and the specific customer terms before sharing the document.

Expected result

The CRM space has the intended default validity value, and the next document can be reviewed against that setting.

Common pitfalls

  • Do not assume a default change rewrites existing documents or changes terms already accepted by a customer. Check those records separately.
  • Tax, approval and numbering controls are separate business decisions. Leave them out of a validity-only change.
