Schedule an organiser-only planning appointment
Reserve time for your own preparation in Calendar, with the right room, duration and audience—without creating a customer invitation or starting a call.
Before you start: Choose the appointment’s purpose, date, start and end time, time zone and an existing room you can use. You need access to Inbox Calendar and the room in Meet. This guide creates a calendar appointment, not a public booking offering.
Steps
1. Open Meet → Rooms and locate the exact room. Use its available Details or Access view to check that it suits the preparation session. A room’s name alone does not establish its audience. Review any recording or transcription requirements before deciding to use it.
2. Open Inbox → Calendar and go to the intended date. Check for an existing appointment with the same purpose and room. If the correct appointment already exists, skip creation in steps 3–6 and check its saved details in step 7.
3. Use Calendar’s add control to open New Event. Enter a specific title and a short description of what you will prepare and the result you want, such as a revised agenda or a list of open questions.
4. Confirm that the organiser is your intended account and Guests is empty. Select the exact date, Start and End. If you use the 30m duration shortcut, read both endpoints afterward. Check the time zone rather than relying on relative shortcuts such as Tomorrow 9AM.
5. Set Does not repeat for a one-off hold. Choose Workroomly as the meeting type and select the intended room. Wait for the room selection to settle, then check the complete room identity.
6. Review the title, description, date, time zone, interval, organiser, repeat setting, room and empty guest list. Select Create Event once. If the result is uncertain, inspect the chosen Calendar date before trying again.
7. Open the saved event from Calendar. Read its details and use Edit to inspect Start and End without changing a correct interval. In Meet, open the same room’s Schedule and match the appointment’s title and date. If the two views disagree, check that they refer to the same event and ask the meeting owner to resolve the discrepancy before relying on it.
Expected result
One identifiable, non-repeating appointment holds the intended preparation time with you as organiser and no guests. It is a plan for a session—not evidence that a call has started or that anyone attended.
Common pitfalls
- A room named Private does not guarantee private access. Check the room’s actual access context.
- A saved calendar appointment does not publish a booking page or reserve a customer slot through a public offering.
- Do not create a second appointment through the room’s Schedule route to compensate for an unclear first save.
