Prepare supplier onboarding for internal review
Build a supplier onboarding case with the actual identity, required information and review scope before qualification.
Before you start: Have the supplier’s correct business and contact details, the required supporting information and an internal case owner. Use genuine documents for a real supplier review and keep sensitive payment information in its intended restricted location.
Steps
1. Open Procure → Suppliers → Directory. Search the supplier’s trading and legal names and relevant contact details. Open likely matches to resolve identity before adding another record.
2. If the supplier already exists, skip creation and use that record. Otherwise select Add supplier, enter Trading name, Registered legal name, Primary contact email, Country code and the intended Primary category. Check the displayed purchasing currency, then select Add supplier once and reopen the generated reference.
3. Check Suppliers → Onboarding for an existing case for this supplier. If one exists, skip step 4 and continue with its current sections and state. Do not restart a completed or already-submitted case.
4. For a needed new case, open the exact supplier and select Begin onboarding. Choose the eligible Internal owner, select Our procurement team for internally owned collection, set the agreed completion target and select Create onboarding case.
5. Open the saved case and read which sections are required. Complete the relevant company profile, business contacts, tax/registration, payment-information and document sections using the actual sources. Purchasing and Finance contacts may serve different purposes.
6. Use Save progress for entered information. Check This section is complete only when that section’s required checks are actually complete. Reopen saved sections to compare their text, document associations and completion states.
7. In Internal review, compare Qualification outcome, Verification notes, Qualification conditions and Risk review notes with the intended decision scope. Record unresolved conditions accurately rather than selecting a stronger outcome to finish the form.
8. When the required information is ready and the case is still eligible for submission, use Submit for internal review. Reopen the case and check its actual state and assigned review. Later approval and supplier activation belong to their own review decisions.
Expected result
The exact supplier has one onboarding case with relevant information and a clear internal-review status, without claiming qualification merely from profile creation.
Common pitfalls
- Saving a document or section is not the same as verifying it. Keep the review decision separate from the upload.
- If an upload response is unclear, inspect the existing documents before uploading another copy.
- An active supplier does not by itself prove catalogue availability, an awarded order, received stock or payment.
