Check a sourcing evaluation and award

Trace the selected offer from its current quotation through evaluation, approval and award.

Before you start

Have the approved requirement and evaluation method, including mandatory conditions, scoring criteria, weights, minimums and decision authority. Compare complete current offers using the same quantity, unit, currency and delivery basis. Do not combine an old price with a newer revision’s improved terms.

Check the offer and evaluation

1. Open Procure → Sourcing → Events and the exact event. Match its source Purchase request, method and requirement; a word such as “Draft” in its title does not override the displayed status.

2. Under Supplier responses, open the relevant quotation. Read Response history and Current revision. Compare quantity, unit price, tax, total, lead time, validity, delivery terms, payment terms and the supplied document together.

3. Open the event’s Evaluation, or use Sourcing → Evaluations and the matching event row. Check the round, status, response count, chair and criteria. Read evaluator findings only within your normal access.

4. Open Final results and expand the supplier result. Compare each average, weight, contribution, minimum and Met result. For example, scores of 80 and 90 weighted at 60% and 40% contribute 48 and 36, totalling 84 out of 100. Use the actual event’s rules, not these illustrative weights.

5. Check mandatory conditions and every required minimum before relying on rank. A high total does not repair a failed mandatory requirement, and two revisions from one supplier are not two competing suppliers.

Reconcile the decision and award

6. Open Sourcing → Awards and the matching award. Compare its event, quote, supplier, quantity, value and evaluation rank with the current response you reviewed.

7. Open the award’s entry in Procure → Approvals and read Previous decisions. Confirm what was approved, the quotation version, the reason and what may happen next. Return to the award and verify that all references describe the same purchase.

8. Before an order or contract is prepared, recheck offer validity, delivery feasibility and unresolved conditions. If terms changed after selection, seek the required revised decision rather than relying on the old approval.

Expected result

You can explain which offer was selected, why it met the agreed method and which approval supports the next action.

Remember: Create Contract and Create Purchase Order are separate actions, not proof those records already exist. Do not alter a finalized evaluation to make it fit an award; use the responsible owner’s correction process. A supplier qualification decision is also separate from a response’s evaluation result.
