Prepare the people and privacy for a meeting
Check that the room, audience and materials fit the decision you need to make.
Before you start: Know the meeting purpose and have permission to inspect the intended room. Identify who can make the decision and who needs to contribute.
Steps
- Write the outcome in one sentence, such as choosing an option or reviewing a proposal. Invite the people needed for that outcome rather than everyone who can enter the room.
- Agree the organiser, decision maker and person who will record the result. A session host may have technical controls, but those controls do not determine who can approve business decisions.
- Open Meet → Rooms and find the exact room. Use Details to confirm its identity and Access to inspect its authorised audience.
- Review the room’s Settings for the recording, transcription and password choices available to you. Decide whether those choices fit the material and audience; ask the organiser to resolve any mismatch before the meeting.
- Prepare the exact document or window needed for the discussion. Close unrelated personal messages, customer records and credentials before any screen sharing.
- Agree which media you need. For a discussion, plan an audio check with a participant; add camera or screen sharing only when it serves the meeting. Tell participants the recording or transcription plan before it is used.
Expected result
The intended people, room and materials are ready, and everyone understands the meeting purpose and privacy arrangements.
Remember
A room called “Private” does not establish who can access it. Check the audience and current settings instead of copying the choices from another room.
