Understand meeting plans rooms and history

Find the right meeting record without confusing a scheduled time with a live call.

Before you start: You need access to Meet in the workroom where the meeting is organised.

Four records to recognise

  • Appointment: the planned purpose, date, time, organiser, destination and guests. A saved appointment tells you when people intend to meet.
  • Room: a reusable meeting destination. Several appointments can use the same room, so check both the room and the scheduled time.
  • Live session: the call that is actually running. One person may have more than one connection or browser tab.
  • History: the record kept after a session, including any available status, duration, participant and recording information.

Find the right place in Meet

  1. Check the workroom, then open Meet from the left navigation.
  2. Look for Summary, Rooms, Bookings and History. Use the section that matches your question: upcoming activity, a room, a booking arrangement or a past session.
  3. Open Rooms and find the room by its full name. Its controls include Meet, Copy Link, Details, Access, Schedule and Settings.
  4. If you are reviewing a past meeting, open History and match the room and session time. Read the available fields separately rather than relying only on a status label.

Expected result

You know which record to open to plan a meeting, inspect its room or review what was recorded afterward. You have not joined a call merely by viewing the room list.

Remember

Share a room link only with the intended audience. Use Schedule when you want to plan a meeting; choose Meet only when you intend to join or start a session.

Turn what you learned into the way the team works.
