Write a request someone can answer
Give your teammate the right context, material and question in one clear message.
Before you start: Open the intended conversation and identify the material you want reviewed. Know whether you are asking for advice, approval or work.
Steps
- Start with the subject of the request. Name the document, task or decision, including its revision when different versions exist.
- Include the facts needed to answer. Paste a short, suitable passage directly into the message, or refer to the exact item the recipient can access.
- Ask one clear question. “Which preparation step is missing?” is easier to answer than “Any thoughts?” Explain whether you want the person to review the material or change it.
- Describe a useful response, such as a decision with a reason or a list of changes. State the requested timing and time zone; ask about availability if the timing has not been agreed.
- Read the draft as the recipient. Can they find the right version and answer without another message asking for context?
- Check the conversation header, then enter the draft in Message... on the Messages tab. Review it before using the blue up-arrow send control in the next step of your workflow.
Expected result
Your request identifies the material, the question, the response needed and any requested timing. The recipient does not have to guess what “this” or “the latest version” means.
Remember
A filename or link does not guarantee access. If the recipient cannot open the material, check the item and its access rather than broadening its audience unnecessarily. Keep unrelated confidential details out of the message.
