Part of Respond to a customer enquiry
Check the audience and material before sending
Review everyone addressed and everything included in your outgoing message.
Before you start: Have the complete response and any supporting material ready. Know who needs the information and whether you are replying, replying to all or forwarding.
Steps
- Open the exact conversation and read the request, including any later correction. Confirm the purpose of your response.
- Check From and every full address in To, Cc and Bcc. Do not rely only on a familiar display name or contact suggestion.
- If you choose Reply All, inspect the audience it includes. If you choose Forward, review the earlier correspondence as well as your new text. Remove unintended recipients before sending.
- Check every attachment or link promised in the body. Open the source material and confirm its title, contents and revision. A file called “final” may still contain an earlier version.
- Review whether all recipients should see the material. An attachment sends a copy; a link may require separate access. If no file is needed, give the complete answer in the body instead of adding unnecessary material.
- Read the full outgoing message, including quoted history and signature. Make sure it does not promise an attachment, completed action or agreement that is missing.
- Keep any follow-up visible until the response is actually sent and the next action is clear. A prepared draft is still unfinished correspondence.
Expected result
Your message has the intended audience, the correct material and no accidental disclosures or unsupported promises. It is ready for the final send decision.
Remember
Bcc hides a recipient from other recipients; it does not make the message confidential. Follow your team’s retention process before archiving or deleting a conversation that still needs attention.
