At Workroomly, we are committed to protecting your privacy and handling your data responsibly. This policy explains what we collect, how we use it, and how integrations such as Google, Microsoft, and Meta/Facebook work inside Workroomly.

Our Commitment to Your Privacy

Introduction

Workroomly ("Workroomly," "we," "our," or "us") provides software and related services that help teams manage communication, collaboration, customer operations, sales, support, files, workflows, and related business processes (collectively, the "Services"). This Privacy Policy explains how we collect, use, disclose, store, and protect personal data when you use our website, applications, integrations, APIs, and related services.

By accessing or using our Services, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

This Privacy Policy applies to information processed by Workroomly as a service provider or platform operator. Where a Workroom admin or customer controls the purposes and means of processing within their Workroom, that customer may act as the data controller for certain information and Workroomly may process that information on their behalf.

Information We Collect

We collect information that identifies, relates to, describes, references, is capable of being associated with, or could reasonably be linked, directly or indirectly, with a person, organization, account, or device ("personal information").

Key Information Categories
  • Account and identity data: name, email address, phone number, password hash, profile photo, organization name, job title, and login identifiers.
  • Workspace and collaboration data: workroom membership, user roles, file names, task titles, document metadata, CRM records, support tickets, comments, notes, and related activity records.
  • Communication data: email headers and content you choose to send, receive, sync, draft, or store through Workroomly integrations or communication modules.
  • Meeting and call data: meeting titles, participants, durations, scheduling metadata, call records, and, where enabled by you or your organization, recordings or transcripts.
  • Professional and company data: company name, industry, website, billing entity, and business contact details.
  • Device and usage data: IP address, browser type, device information, log files, pages viewed, feature usage, session events, and approximate geolocation based on IP.
  • Marketing and attribution data: UTM parameters, referral source, campaign identifiers, ad click identifiers, conversion events, and cookie-derived analytics.
  • Integration data: OAuth profile data, refresh and access tokens, account metadata, mailbox identifiers, ad account identifiers, campaign metadata, and permissions granted through third-party integrations.
  • Support and communications: messages you send to us, support requests, bug reports, and onboarding communications.
  • Billing and transactional data: billing contacts, payment references, invoices, subscription records, and payment status. We do not store full card numbers ourselves where third-party payment processors are used.

We collect information:

  • Directly from you when you sign up, log in, connect integrations, invite users, submit forms, upload files, send emails, configure campaigns, contact support, or otherwise use the Services.
  • Automatically through cookies, SDKs, log files, analytics tools, and similar technologies when you access our Services.
  • From third-party services you connect such as Google, Microsoft, Meta/Facebook, telephony providers, or other external systems you authorize.
  • From your organization or other users when they invite you to a Workroom, assign work, share files, send messages, or include your information in business records.

How We Use Your Information

We use personal information for the following business and operational purposes:

CRM, Support, and Workflow Operations To capture leads, manage deals, process support tickets, automate tasks, and route business data through Workroomly workflows.
Integrations To connect authorized third-party services such as Google, Microsoft, and Meta/Facebook and exchange approved data needed for the requested integration.
Security To detect, investigate, and prevent fraud, abuse, unauthorized access, suspicious activity, or service misuse.
Support and Customer Success To respond to inquiries, provide onboarding and support, and communicate about service issues, updates, or product changes.
Analytics and Product Improvement To understand feature usage, performance, adoption trends, and service reliability in order to improve the Services.
Marketing To send newsletters, event invitations, product updates, or promotional communications where permitted by law and, where required, with your consent.
Legal and Compliance To comply with legal obligations, enforce our terms, protect our rights, and respond to lawful requests.

Connected Accounts and Third-Party Integrations

Workroomly allows users and organizations to connect third-party services to enable login, email integration, marketing workflows, customer operations, analytics, and related business use cases. We only access and use data from these connected services as necessary to provide the specific functionality the user or customer has requested.

Examples of Supported Connected Services
  • Google: Google Sign-In, Gmail integration, and Google Ads-related integrations where enabled.
  • Microsoft: Microsoft Sign-In, Outlook or Microsoft 365 mail integration, and related Microsoft account access where enabled.
  • Meta/Facebook: Facebook Login where offered, lead ads and advertising-related integrations, and related connected assets or account metadata where enabled.

When you connect an integration, Workroomly may receive account identifiers, profile information, tokens, account metadata, campaign or mailbox metadata, message or ad objects, and other data necessary to operate that integration. The exact data depends on the permissions you approve and the features you use.

You or your organization control whether these integrations are enabled. You may disconnect them at any time through the relevant settings or by contacting us if needed.

Google Login, Gmail, and Google Ads

If you sign in with Google, connect Gmail, or connect Google Ads functionality, Workroomly may process information provided by Google in accordance with the permissions you grant.

Google Login

When you use Google Sign-In, we may receive basic profile information such as your name, email address, profile image, unique Google account identifier, and authentication details needed to create or manage your Workroomly account.

Gmail Integration

If you connect Gmail, Workroomly may access and process Gmail data strictly to provide the functionality you request, such as:

  • sending email from your connected Gmail account;
  • reading or syncing mailbox content, metadata, or message threads where you enable those features;
  • drafting, organizing, or displaying messages inside Workroomly;
  • associating emails with CRM, support, or operational records inside your Workroom.
Google Ads Integration

If you connect Google Ads-related functionality, Workroomly may access account, campaign, ad, conversion, click, attribution, and related reporting data needed to display campaign performance, link outcomes to CRM records, support analytics, or allow authorized advertising workflows.

Google API Services User Data

Workroomly's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements, where applicable.

  • We do not use Google user data obtained through restricted or sensitive scopes to develop, improve, or train generalized AI or machine learning models, except as permitted by Google’s policies.
  • We use Google data only to provide or improve user-facing features requested by the user or customer, or for security, abuse prevention, legal compliance, billing, and internal operations as permitted by applicable policy.
  • We do not sell Google user data.

Microsoft Login and Email Integration

If you sign in with Microsoft or connect Microsoft email services, Workroomly may receive and process information from Microsoft in line with the permissions you grant and the functionality you enable.

Microsoft Login

When you use Microsoft Sign-In, we may receive your name, email address, profile details, unique Microsoft account identifier, tenant or organization metadata, and authentication details necessary to provide access to Workroomly.

Outlook / Microsoft 365 Email Integration

If you connect Outlook or Microsoft 365 email, Workroomly may access and process mailbox data to support features such as:

  • sending email from your connected account;
  • reading or syncing email content, metadata, folders, and message threads where enabled;
  • drafting, replying to, organizing, or displaying emails inside Workroomly;
  • linking emails to CRM, support, or workflow records inside your Workroom.

We process Microsoft data only as necessary to provide the requested integration, secure the Services, maintain logs, support debugging, and comply with applicable law or platform requirements.

Facebook Login and Facebook Ads / Meta Integrations

If Workroomly offers Facebook Login or Meta/Facebook advertising integrations and you choose to connect them, Workroomly may receive and process information from Meta in accordance with the permissions you approve and the features you use.

Facebook Login

If you sign in with Facebook, we may receive your name, email address, profile image, account identifier, and related authentication details needed to create or manage your Workroomly account.

Facebook Ads / Meta Integrations

If you connect Meta/Facebook advertising or lead-related functionality, Workroomly may receive and process data such as:

  • ad account or business asset identifiers;
  • campaign, ad set, ad, lead form, and conversion metadata;
  • lead data submitted through authorized forms or experiences;
  • analytics, attribution, conversion, and performance data;
  • permissions and account details necessary to manage or display connected advertising information.

We use this data only to power the advertising, attribution, CRM, campaign, reporting, or workflow features you or your organization enable within Workroomly.

How We Share Your Information

We may share personal information in the following circumstances:

  • Within your Workroom: with authorized members, admins, collaborators, agents, or other users as necessary for the Services to function.
  • Service providers and subprocessors: with vendors that help us provide infrastructure, hosting, support, analytics, communications, storage, authentication, payment processing, monitoring, or related services.
  • Connected third-party services: when you authorize Workroomly to connect to Google, Microsoft, Meta/Facebook, or other platforms, we may exchange data with those services to enable the requested functionality.
  • Professional advisors and legal authorities: when necessary to comply with legal obligations, respond to lawful requests, protect rights, investigate fraud or abuse, or enforce agreements.
  • Corporate transactions: in connection with a merger, financing, acquisition, sale of assets, restructuring, bankruptcy, or similar transaction.
  • With your consent or at your direction: where you explicitly request or authorize sharing.
  • Aggregated or de-identified data: for analytics, benchmarking, security, product planning, or business purposes, provided it does not identify you.

We do not sell personal information for money. We also do not sell Google, Microsoft, or Meta-connected user data obtained through integrations.

Data Security

We use administrative, technical, and organizational measures designed to protect personal data against unauthorized access, accidental loss, misuse, disclosure, alteration, or destruction.

These measures may include:

  • encryption in transit and, where appropriate, at rest;
  • access controls and role-based permissions;
  • secure token handling and secret management;
  • audit logging and monitoring;
  • network, infrastructure, and application security controls;
  • restricted administrative access;
  • incident response and recovery procedures.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping your credentials secure and for appropriately managing access within your Workroom.

Data Retention

We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations.

Retention periods may vary based on the type of data, the settings configured by your organization, contractual obligations, platform requirements, and applicable law. Integration tokens and related credentials may be retained only for as long as needed to maintain the relevant connection, unless earlier revoked or deleted.

Your Privacy Rights and Choices

Depending on where you live and how you use Workroomly, you may have rights regarding your personal information, including the right to:

Access

Request access to the personal information we hold about you.

Correction

Request that inaccurate or incomplete information be corrected.

Deletion

Request deletion of certain personal information, subject to legal and operational exceptions.

Portability

Request a copy of certain data in a portable format where applicable.

Opt-out

Opt out of marketing communications and, where applicable, certain tracking or sharing activities.

Revoke Integration Access

Disconnect Google, Microsoft, Meta/Facebook, or other third-party integrations at any time.

To exercise applicable rights, contact us using the details below. We may need to verify your identity before completing your request. If your data is controlled by a Workroom administrator or customer organization, we may direct your request to that organization where appropriate.

Revoking Access to Google, Microsoft, and Meta/Facebook

You may stop Workroomly’s access to your connected third-party accounts at any time by:

  • disconnecting the integration from your Workroomly settings, where available;
  • revoking Workroomly’s access from your Google, Microsoft, or Meta/Facebook account security settings;
  • contacting your Workroom administrator; or
  • contacting Workroomly support for assistance.

Revoking access may disable related features and may not remove information previously synced or processed within your Workroom unless separately deleted in accordance with product functionality, retention settings, or applicable law.

International Data Transfers

Workroomly may process and store personal information in countries other than the country in which you reside. Where required, we take steps designed to ensure appropriate safeguards apply to international transfers, including contractual protections or other lawful transfer mechanisms.

Cookies, Analytics, and Tracking Technologies

We use cookies, pixels, SDKs, local storage, and similar technologies to operate the Services, keep users signed in, analyze usage, understand campaign performance, improve reliability, and support marketing or attribution efforts.

You may control cookies through your browser settings and, where applicable, through our consent or preference tools. Disabling certain cookies may affect Service functionality.

Children's Privacy

Our Services are intended for business and professional use and are not directed to children under the age of 16. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can investigate and take appropriate action.

Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our Services, integrations, data practices, legal requirements, or operational needs. When we make material changes, we may:

  • update the "Last Updated" date at the top of this page;
  • post the revised version on this page;
  • notify users through email, product notices, or other reasonable means where appropriate.

Your continued use of the Services after an updated Privacy Policy becomes effective means you accept the revised policy to the extent permitted by law.
